New Delhi: When it comes to Prime Minister Narendra Modi’s visits abroad, they have always been massive and splendid. Keeping up with the trend, the Union Ministry of Environment and Forests (MoEF) is planning a spectacular show of hi-tech and visual delight at the UN Climate Change conference in Paris later this year. The event will see the participation of several world leaders, including Modi, coming together to save the planet.

Environment Minister Prakash Javadekar will be responsible for Modi’s high octane visit. The green ministry is excited about the high-profile event as it will showcase the green measures taken by India at the global platform.

The Prime Minister, who has written a book on climate change and has raised the matter many times, will attend the UN Conference of Parties (CoP 21) in Paris scheduled to take place from November 30 to December 11. The Paris event is historic in itself as the world leaders will negotiate a new legal climate change regime that would chart out the future of the countries.

India, being a key player in the negotiations, wants to make it a mega event showcasing the NDA government’s green measures. The ministry has decided to hire an event management solutions agency to conceptualise and develop government events consisting of social media campaigns, audio-visual events and exhibitions using latest technology in Paris.

The importance that the environment ministry is giving to the event can be gauged from the fact that the ministry has specifically stated the proposal must consider the presence of the Prime Minister during the summit duration. The agency will not only manage India’s show during the Paris summit but also in the run-up events to the summit. Environment ministry, earlier this week, sought proposals from interested firms. The cost of the contract is expected to be in crores of rupees and the agency will start campaign and publicity work from September onwards. The pre-bidding meeting is scheduled for August 12 and an agreement will be signed with the selected agency by the end of this month. They will require to chart out creative strategies and logistical plans for content creation and management of the Indian pavilion in Paris.

The ministry has already specified that it wants to use cutting-edge technology including high-quality new media elements like hologram, creation of models and exhibits, audio-visual presentations, video-walls and curved projection screens, custom videos, animations,  immersive audio effects, lighting effects and décor.

Social media has been a significant area which the Modi government has focused on to convey its vision and seek ideas. The ministry is also planning a massive social media campaign on Facebook and Twitter in the run-up programmes to the fortnight-long event to tell the world about India’s green measures.

Wishing on anonymity, a senior environment ministry official, admitted that India has organised exhibitions in past but this time it would be like a never-before experience. “The Indian pavilion at CoP-21 offers an unique opportunity to showcase India’s positive actions on climate change through events and exhibits. Since the pavilion will be viewed internationally, due care has to be taken in preparing and showcasing the exhibits, handling the publicity and organising the events,” says the request for proposal (RFP) by the ministry.

The ministry is looking for total event management solutions whereby the firm does preparation of programme material and abstracts, room rendering and seating layouts, stage and room designs, media interviews of ministers and other senior delegates and book launch.

They are also expected to prepare and coordinate promotion with marketing and communication services with focus on content development, creation and management of outdoor publicity and creating a detailed marketing plan and strategy.
